Members & roles

Invite colleagues, change roles and allowances, and help people sign in again.

Manage people in Organization › Members & roles. Inviting a colleague does not automatically give a Manager access to other people’s private Offices.

Invite a colleague

Let colleagues work with their own accounts instead of sharing your sign-in.

  1. Select Invite and enter Email, Name, and Role. See Roles & permissions for differences.
  2. For a new account, enter an Initial password of at least 12 characters, or leave it blank.
  3. Select Invite. If you set a password, give it to the person through an appropriate private channel.

The person appears in the member list. A new account with an initial password must change it at first sign-in. A blank password shows No password, cannot sign in; use Set a new password before they can sign in.

Change a colleague’s role

Choose Manager, Admin, or Owner in their row’s role menu. The choice submits immediately; no save is needed. New permissions apply on their next request.

Set a Manager’s allowance

Allowances limit work currently retained, not lifetime creation counts or model spending.

  1. Select Allowance on the Manager’s row.
  2. Enter limits for Subjects, Offices, and Embodiments. Zero prevents additions; blank means unlimited.
  3. Select Save and check Allowance updated.

Subjects count those they created. Offices count those listing them under visibility. Embodiments count undismissed ones in those Offices. Organization-wide Offices that do not list them under visibility do not count. Deleting a Subject or Office, or dismissing an Embodiment, frees the corresponding allowance.

Set a new password for a colleague

Keep the existing account if someone forgets their password or a new account has none.

  1. Select Set a new password on their row.
  2. Enter a New password of at least 12 characters and select Set a new password.
  3. Give it to them privately and ask them to change it after signing in.

All their signed-in sessions end. Their next sign-in requires a password change. This replaces the password; it does not reveal the old one.

Remove someone who has left

Select Remove on their row. They are no longer a member of this organization. This removes membership, not their account, Offices, or Subjects.

Hand over the last Owner role

The last Owner cannot be removed or demoted. First have an Owner make another member an Owner, then change or remove the original Owner.
